This page describes VerbaFlo's data and analytics capabilities. It is a description of product functionality, not a contractual commitment. Our binding terms are set out in the Platform Terms of Service, the Privacy Policy and the Acceptable Use Policy.

At VerbaFlo, we recognise that data is the cornerstone of success in the real estate industry. Our platform not only streamlines operations but also provides powerful insights that enable informed decision-making. By leveraging advanced data analytics, artificial intelligence and machine learning, VerbaFlo transforms raw data into actionable insights that drive growth, efficiency and a competitive edge.
2. Comprehensive data analytics | Turning your own data into strategic insight
VerbaFlo brings together the data generated across your own conversations, properties and channels, and analyses it to give you a clear operational picture. Your data is analysed within your own environment. We do not combine your data with that of other VerbaFlo customers to generate your insights. Whether you are looking at occupancy, revenue projections or how prospects behave, you get the analysis you need to make strategic decisions.
Client behaviour analysis: Understand how prospects and residents engage with your properties and services, and identify the patterns worth acting on. In a fast-moving rental market, staying ahead requires real-time access to the data that matters. VerbaFlo's platform offers live dashboards and reporting tools that give you up-to-the-minute information across your operations. Whether you are monitoring rental applications, tracking maintenance requests or watching demand shift, our real-time tools keep you informed and able to respond.
Live dashboards: Customisable dashboards give you a real-time view of the key performance indicators you care about, so you can manage your properties more efficiently.
Instant alerts: Automated alerts for operational events, such as a sudden change in occupancy or an urgent maintenance issue, so your team can respond quickly. Alerts inform your people; they do not take decisions about individuals.

Every real estate business has its own data needs. VerbaFlo's platform offers customisable reporting, so you can generate the reports your team actually uses. Whether you need a high-level overview or a deep look at a single metric, the reporting tools flex to fit.
Custom reports: Build bespoke reports focused on the metrics that matter most to your business, from financial performance to resident engagement.
Automated reporting: Schedule reports to be generated and delivered automatically, so the information arrives without anyone chasing it.
5. Data security and compliance | Protecting your data with strong security controls
Our platform is built with security controls designed to protect your data from unauthorised access, and to support your compliance with applicable data protection law, including the UK GDPR and EU GDPR.
Compliance is a shared responsibility. VerbaFlo provides the platform controls, documentation and data processing agreement. You remain responsible for your own lawful basis, the notices you give to individuals, your retention decisions and your oversight of how the platform is used.
Advanced encryption: Data is encrypted in transit and at rest.
Security and compliance controls: VerbaFlo is certified to ISO/IEC 27001 and reports under SOC 2. The platform provides encryption in transit and at rest, role-based access control, audit logging, and a data processing agreement covering our processing of your data. Current certifications and their scope are published in our Trust Centre.
6. AI governance | Built for the EU AI Act
VerbaFlo is the provider of an AI system under Regulation (EU) 2024/1689, the EU AI Act. You, as the operator deploying it, are the deployer. The two roles carry different obligations, and we have built the platform and our documentation around that split.
What we do as provider
Our conversational AI tells people they are interacting with an AI system at the start of the interaction, on every channel — as required by Article 50(1).
We mark AI-generated audio and text so it can be detected as artificially generated, as required by Article 50(2).
We publish an AI Transparency Notice written for the people your AI talks to, not just for you.
We maintain instructions for use, describing the platform's intended purpose, its limitations and the oversight it requires.
We state clearly that the platform is not intended for high-risk use under Annex III, and our Acceptable Use Policy makes that a contractual restriction.

What we do not permit
Our Acceptable Use Policy prohibits using the platform to infer the emotions of your employees, to score people socially, to assess creditworthiness, or to conceal that a conversation is AI-operated. Those restrictions protect your compliance position as well as ours.
