AI Transparency Notice

Talking to VerbaFlo
VerbaFlo builds AI that handles conversations for property operators — the companies that let and manage homes, student accommodation and rental buildings. If you have called, messaged, emailed or chatted with one of those companies, you may have spoken to our AI.
This notice explains what that means, in plain terms. It is written for anyone who talks to our AI, not for our customers.
You are talking to an AI
When you interact with our AI, we tell you so at the start of the conversation. On a phone call you will hear it. In chat, WhatsApp, SMS or email you will see it.
We do this because you are entitled to know. It is also required by Article 50 of the EU AI Act, which has applied since 2 August 2026.
What the AI does
Depending on what the property operator has set up, our AI may:
answer questions about a property, its availability, pricing or amenities
book, move or cancel a viewing or an appointment
take a maintenance request and pass it on
help you through a move-in
send reminders, including about payments due
collect feedback
What the AI does not do
Our AI does not make final decisions about whether you are offered a tenancy, whether an application is accepted, or how a complaint is resolved. Those decisions rest with the property operator and involve a person.
Reaching a person
You can ask to speak to a person at any point. Say or type "speak to a person", or use the contact details the property operator has given you. The AI will pass you on or take a message.
If you would prefer not to deal with an AI at all, tell us and we will note it.
Voice, recording and transcription
Our voice AI uses a synthetic voice. It is not a recording of a person.
Calls are recorded and transcribed so the property operator has a record of what was agreed.
We mark AI-generated audio so that it can be identified as artificially generated by systems designed to detect it.
Recordings and transcripts are kept for the periods set out in our Privacy Policy.
What we get wrong
Our AI can be wrong. It can misunderstand you, give an out-of-date answer, or state something inaccurately.
Nothing our AI tells you is legal, financial, tenancy or safety advice. If something matters — a payment amount, a deadline, a tenancy term, anything about safety — please confirm it with the property operator before acting on it. If our AI has told you something that turns out to be wrong, that does not create an obligation on the property operator or on us.
Who is responsible for what
Two organisations are involved when you talk to our AI.
The property operator decides to use our AI, configures it, decides what it handles, and is responsible for the decisions taken about you. In the language of the EU AI Act, they are the deployer.
VerbaFlo builds the AI and provides it to them. We are responsible for how the system is designed, including telling you that you are talking to an AI and marking AI-generated content. In the language of the Act, we are the provider.
If you want to know how your personal data is used, the property operator is the first point of contact, because they decide that. Our Privacy Policy explains our own role.
Things we do not allow
We do not permit our customers to use VerbaFlo to:
infer the emotions of their own staff
score or rank people based on social behaviour or personal characteristics unrelated to the service
assess a person’s creditworthiness or produce a credit score
exploit a person’s age, disability or circumstances to influence their decisions
These restrictions are set out in our Acceptable Use Policy and are contractual obligations on our customers.
